Many systems need to exchange data with other systems. ITS facilitates this exchange and ensures that it takes place in a timely, secure fashion. Data integration may be live/real-time or batch.

Such integration requires foresight into the data standards, the integration approach and the maintenance cycles. Ideally, such request would be working with ITS beginning with the application selection process. The earlier ITS is aware of the request and proceeds with a formal system analyzing process, the smoother the integration will be.

Please be advised that any enterprise application integration would be a lengthy process.

* Request This Service:

To discuss data integration needs, contact the ITS Applications group.

Additions to RMP, grant-funded equipment, and other general use computers and equipment are handled by submitting a purchase requisition to ITS with the appropriate budget number against which the purchase is to be funded.

System Acquisitions: Computer systems, those that include hardware, software, and require programming or integration support, must be submitted to the project portfolio system for financial approval and workload prioritization. Purchase costs, if any, are either paid by local funds or by university funds that are approved during the annual budget process.

Software Acquisition: Software to be used for academic purposes, including installation on classroom or lab computers, is purchased through the Director of Academic Technology. A budget amount is allocated annually to cover new purchases and recurring licenses for this software. Software for administrative purposes is purchased through the Director of Infrastructure Technology in ITS, after it has been verified to be compatible with university systems. Such acquisitions can be purchased with local funds, but the cost for the initial purchase must be augmented with the funds to pay the ongoing annual license fees.

Selection:

The selection of computer hardware, software, and services is made by the end-user and ITS working together. Any requests for such tools should be directed to the Director of Infrastructure Technology in ITS, who will assign the appropriate staff member to assist in the selection. Any product must meet the end users needs, and also conform to the LMU ITS standards for security, functionality and compatibility. In the event there is a need for a product that does not meet these standards, it can only be connected to a sandbox network, or have no network connection whatsoever.

Service and support:

All equipment acquired through any of the above processes is eligible for service by ITS staff for the declared useful life of the item. After this time, if the item is not taken out of service or replaced in kind, it will no longer be serviced by ITS. All ITS service on campus is performed, or arranged by, LMU ITS.

Rule of thumb – If it goes IN a computer (including software), if it ATTACHES to a computer through a USB slot (Printers, Scanners, External Hard Drives, etc), ITS buys it. Exceptions would include digital cameras, or other devices that are not used exclusively for computers. Those items can be purchased by the department with the proper internal approvals.

Purchasing Process:

Send email to Purchase@lmu.edu , with either a quote already attached, or a detailed description including what the item is; model number or part number if known; or a web page link.
Vendors will be contacted to determine the best price and delivery times.
Final price is emailed to the department. An approved requisition, including the budget number should be sent to Greg Hadzinski, ITS, Daum Hall, MS8370
If the item is a computer being added to RMP, 2 Budget Change Requests (BCR’s) will be needed. One is a temporary one-time BCR for the actual cost of the computer
When ITS gets the price quotes for all the requested items, we will pass that information back to the department so the paperwork can be prepared.
The permanent BCR for $500 annually, is to cover the replacement cost and ITS servicing.
The requisition is approved by our technical team and budget manager, if necessary.
Item is ordered through Purchase Order or Pcard.
When it arrives, the Helpdesk will create an Incident, and contact the department to arrange a time for installation/delivery.

Reporting

ITS reporting services are provided for the data owners of various enterprise systems. ITS acting as data stewards, will NOT provide any reports without the approval from data owners. Reporting from LMU's administrative systems currently requires specific technical expertise and training. Reporting duties are shared among ITS Programming staff and reporting experts in specific functional areas, including Academic & Enrollment Services, Advancement, Business and Finance, and Institutional Research.

Reports can be made easily accessible using Evisions Argos, Oracle Discoverer, or Metaviewer, all of which display reports on the screen and allow saving into a variety of formats. All financial system reports are available in Metaviewer and require special security setup.

ITS currently recommends Evisions Argos for any other database reporting needs.

Video Conferencing

Video conferencing uses telecommunications of audio and video to bring people at different sites together for a meeting. This can be as simple as a conversation between two people in private offices (point-to-point) or involve several sites (multi-point) with more than one person in large rooms at different sites. Besides the audio and visual transmission of people, video conferencing can be used to share documents, computer-displayed information, and whiteboards.

A few examples of how video conferencing is used in Academic environments include: holding “live” meetings with researchers or personnel at various institutions, inviting guest lecturers who cannot come to campus to speak to a group of students, bringing together students from many institutions so that they can share their work, interviewing potential candidates, and offering access to keynote lectures and speeches to people off-campus. Video-conference events can be recorded, archived, and/or streamed over the Internet.

LMU has two mobile video conferencing carts that can be used in any location on campus that has an Ethernet jack. There are also some conference rooms on campus that have mounted video conferencing cameras and monitors. Currently there are no costs associated with this service.

* Request This Service: To schedule a video conference, please contact the ITS helpdesk or your ITA a minimum of 1 week prior to the event (continental US) or 2 weeks prior to event (international connections).

Video Streaming

Video Streaming is available through ITS for QuickTime movies. Policies and procedures for uploading content on the streaming server are being updated at this time because of newly implemented technologies.

Wireless Access

Wireless connectivity is available throughout LMU campus and requires you to authenticate via your LMU Manegate username and password. In order to provide compatibility with multiple systems, IT supports a few different authentication methods as indicated by the different wireless network (SSID) names. The recommended method is WPA via the LMU_WPA_Student or LMU_WPA_Fac/Staff networks. Any “Wi-Fi Compliant” system should be able to connect.

* Request This Service:

Wireless access is granted automatically with student, faculty and staff accounts. To learn how to configure your system for the wireless network, visit: http://www.lmu.edu/PageFactory.aspx?PageID=41003
